R.A.S Interim is a French family-owned company specializing in temporary employment in sectors such as transportation, hospitality, healthcare, banking, and insurance.
Founded in Lyon in the 60s, the company now generates €550M in annual revenue and employs over 1,000 people. Over the past 15 years, R.A.S Interim has experienced rapid growth, increasing its branch network tenfold to 180 locations across France, Luxembourg, and Spain.
With this substantial growth, R.A.S Interim transitioned from a small business to a large enterprise, requiring significant restructuring and a comprehensive transformation project. This strategy included centralizing and digitalizing its administrative and procurement processes.
The heterogeneity of our information systems complicated procurement management processes.
R.A.S Interim operates 180 branches across the region, each functioning autonomously with its own manager, accounting system, and procurement processes. The company’s significant growth has resulted in €550M in annual revenue and over 1,000 employees.
The challenge was twofold,” said Mark Lavoye. “We needed to digitalize our support functions while structuring our organization by establishing clear governance and improving communication and collaboration across teams.
The challenges: optimising the entire procurement value chain, from order to invoice
Temporary employment, R.A.S Interim’s core business, is heavily focused on administrative aspects closely linked to human resources. Most purchases involve intellectual services, training, personal protective equipment (PPE), and branch operating costs. Although these purchases represent only 20–25% of its revenue and are not considered strategic, the associated administrative costs have risen sharply as the company has grown.
Currently, R.A.S Interim comprises 180 entities, each with its own purchasing manager, accounting systems, and payroll tools. “The heterogeneity of our information systems made procurement management processes complex,” explained Mark Lavoye, Operational Performance Manager at R.A.S Interim. “Invoices received at headquarters and branches were often incomplete, requiring systematic data verification before approval, a process made more complicated by the company’s growth.”
«Additionally, support functions, such as procurement, had not yet been digitalized.».
Our accountants will be able to develop new skills and dedicate more time to monitoring our payment timelines.
After launching its transformation project in January 2022, R.A.S Interim began its Procure-to-Pay initiative at the start of 2023. The project’s requirements included adapting to the company’s decentralized organization.
R.A.S Interim prioritized a solution with a user interface similar to public “marketplaces,” making it easy for employees to adopt and simplifying change management. The solution also needed to be standardized to address all sectors and company types that R.A.S Interim collaborates with while remaining sufficiently customizable to align with the company’s processes and organizational structure.
After evaluating several providers, R.A.S Interim selected Oxalys’ Procure-to-Pay solution. “Its user interface, particularly its catalog access and order placement features, is similar to those used on public platforms,” said Mark Lavoye. “Additionally, this solution is standardized enough to leverage best practices in procurement management while being adaptable to our specific needs, exceptions, and unique cases.”
In March 2024, the decision to use Oxalys was finalized. Two months were devoted to workshops to redesign procurement processes and define purchasing rights. The testing phase ensured that the application functioned as intended. The pilot and full-scale implementation are expected to be completed by March 2025, one year after the project’s launch.
By digitalizing its procurement processes, R.A.S Interim aims to free up its accounting teams from repetitive tasks, enabling them to focus on higher-value activities such as monitoring payment deadlines.
The Oxalys interface, especially its catalog access and order placement features, resembles public marketplace platforms, making it highly intuitive.
By centralizing procurement management on a single platform, the company will gain better visibility into purchase requests and spending. R.A.S Interim also plans to use this solution to optimize cost control. Purchase orders will require approval from team managers before being processed.
“This traceability will allow us to better identify which suppliers we buy from and at what price,” explained Mark Lavoye. “Our goal is to redirect purchases to suppliers with framework agreements, rationalizing costs and avoiding invoices without corresponding purchase orders—except for cases like electricity, which don’t require purchase orders.”
